Visa Application/Entry to Japan



Visa Support Application Form

The following items are required for entry into Japan for participants of HMF-26. Please carefully review the conditions below before submitting your request.

Kindly note that HMF-26 does not support visa applications that include both conference participation and private sightseeing. If this applies to you, please arrange a tourist visa independently.


Eligibility for Visa Support



Applicants must meet all of the following conditions:

1. You have submitted an abstract.
2. Your paper has been accepted.
3. You have completed the online registration.
4. Your registration fee has been paid.

If any of the above conditions are not met, visa support cannot be provided.


Documents Provided by HMF-26



The following documents will be issued to eligible applicants:

1. Invitation Letter
2. Letter of Guarantee
3. Letter of Reason for Invitation
4. Schedule of Stay
5. Certificate of Employment of the Inviter


Important Notes



1. Citizens of certain countries/regions require a short-term visa to enter Japan.

2. Since visa processing may take time, please contact the Japanese Embassy or Consulate in your region as early as possible.
3. Preparation of visa documents by HMF-26 does not guarantee entry into Japan.
 Visa issuance is subject to the decision of the embassy/consulate.
4. HMF-26 is not responsible for any cancellation fees related to travel arrangements.
5. Please confirm whether a transit visa is required if you travel via another country.

Required Information for Visa Support Request



Please prepare the following information when contacting the visa support desk:

1. Copy of passport (PDF or image)
2. Occupation
3. Embassy or Consulate-General where you will apply
4. Flight information:
 Arrival in Japan (Date / Flight number)
 Departure from Japan (Date / Flight number)
5. Place of stay:
 Hotel / Accommodation name
 Check-in / Check-out dates


Visa Guarantee Period



The maximum visa guarantee period for HMF-26 is October 31 - November 9, 2026.

If you plan to extend your stay beyond this period, you may apply for a tourist visa separately, subject to approval by the Japanese Embassy or Consulate.
